Automation

Retyping orders into invoices, copying data from e-mail into a spreadsheet, manual reminders - the routine that repeats every week quietly eats your hours and your nerves. We automate business processes so they run on their own: we connect the tools you already use, and where a fixed rule isn't enough, we bring in AI that reads a document and decides the next step. But first we map the routine, design the flow and tell you openly what isn't worth automating - rather than have you pay for something you'll switch off in six months anyway.

When to tackle business process automation

Automation pays off when a process runs often, is done manually and a mistake in it costs time or money. These are the three most common goals people come to us with.

Connecting tools (CRM, e-shop, invoicing)

You retype an order from the e-shop into an invoice, a contact from a form into the CRM, numbers into a spreadsheet - and so on, over and over. We connect the tools you use so data flows between them on its own and you don't have to move it from window to window.

Automating repetitive tasks

Notifications, order confirmations, invoice reminders, monthly reports - tasks that repeat in a precise order and are easily forgotten when things get busy. We run them automatically and on time, without depending on someone remembering.

Processing data and documents with AI

When an incoming e-mail needs to be read, an amount and line items extracted from an invoice or an inquiry sorted by content, we deploy AI exactly where a rule-based flow hits its limits - and leave the rest to proven rules.

What it includes

What automation covers

From mapping the process through design and deployment to maintenance - four areas we address with every automation. Every step is transparent and you know what's happening. No half-baked scripts that quietly fail after a week.

01

Process analysis

We write down with you which tasks repeat, how often and how much manual work they cost. We openly assess which of them are worth automating and which aren't - and why. We don't build without this analysis, because automating a bad process just means making the same mistake faster.

Analysis
02

Automation and integration design

You get a clear flow design: which tools we'll connect (CRM, e-shop, invoicing, spreadsheets), what exactly happens at each step, how we'll handle exceptions and where AI enters the flow. You know how the automation will work before we build it.

DesignIntegrations
03

Deployment and testing

We build the automation on a suitable platform or as a clean custom solution and test it on your real data, not on a sample example. We fine-tune edge cases so they don't catch you off guard in live operation.

DeploymentTesting
04

Maintenance, monitoring and changes

The automation runs traceably - at a glance you can see that it's working, or where and why it got stuck. When your process changes or a new tool comes in, we adjust the automation so it keeps pace with your business.

How we work

From the first message to a running automation, we guide you clearly and without surprises. At every stage you know what's happening, what you'll get and for how much.

  1. 01

    Brief and intro call

You describe the process that's slowing you down - even if you so far see it only as “this keeps annoying me”. We listen, ask about the details and the tools you use, and give you a first honest estimate of whether and how it can be automated.

  2. 02

Analysis, flow design and a fixed quote

We break the process down into steps, design the flow and the points where AI enters it, and you get a fixed price and timeframe up front. No surprises on the invoice - you know exactly what you'll get and for how much before we say yes.

  3. 03

Build and testing on your data

We build the automation and test it on your real data. We show you how it works as we go, you give feedback and we fine-tune until it fits your process - not our assumption about it.

  4. 04

    Handover, training and support

We launch the automation, hand it over documented and train you so you know what's happening. When the process later changes or a step is added, we're here - we'll adjust it to keep pace with your business.

Principles

What we insist on with automation

  1. 01

We'll also tell you what not to automate

Not every process is a good candidate for automation. If a task is done once a month for five minutes, an automation for it is just extra overhead and one more thing that can break. We'll tell you directly where automation genuinely saves time and where you should simply keep the process in your own hands - we'd rather talk you out of a pointless setup than sell it to you and have you switch it off in six months anyway.

  2. 02

    Stable, traceable, no vendor lock-in

Automation is meant to work for you, not to stress you out. That's why it has to run reliably and transparently - at a glance you see that it's running, and when something gets stuck, you know where and why. We build on proven automation platforms, and where they fall short, we add clean custom code. No fragile click-together constructions that fall apart at the first change with no one knowing why.

  3. 03

No needless complexity, with open communication

We choose the simplest solution that works reliably - the fewer moving parts, the less can go wrong. We explain in plain language what the automation does and how, and we hand it over documented so you understand it and aren't tied to us.

Selected work

No two processes are the same, so the solution isn't a template either.

FAQ

Frequently asked questions.

What is business process automation?

Business process automation means that repetitive tasks - transferring data between systems, notifications, processing orders or reports - are taken over by software that does them on its own, accurately and on time, instead of you. You focus on the decisions that truly need a human.

What can be automated?

Almost any repetitive task with clear steps - transferring data between tools, notifications and reminders, processing orders, monthly reports, sorting e-mails and documents. The question isn't “can it be done”, but “is it worth it”. After the analysis we'll tell you directly what's genuinely worth automating in your case and what's better left as is.

What is custom AI automation?

Automation where, beyond fixed rules, we also bring in AI - to read text, classify, extract data from documents or prepare content. We deploy AI deliberately where ordinary tool-to-tool connections aren't enough and the content needs to be understood. Where a fixed rule is enough, we don't use AI - it would only be more expensive and less predictable.

What's the difference between platform automation and a custom solution?

A proven automation platform is quick to build and great for connecting common apps. We choose a custom solution with clean code where the platform hits its limits - with more complex logic, larger data volumes or specific requirements. We often combine the two. We pick the platform to fit your process, not the other way around.

Can you connect our CRM, e-shop and invoicing?

Yes, that's the most common thing we handle. We connect your CRM, e-shop, e-mail, invoicing and spreadsheets so data flows between them on its own - without manually retyping from one window into another. If a tool has an API or a reasonable export, we can almost always integrate it.

Do we have to change the tools we already use because of automation?

Usually not. We build automation around the tools you already have and know - the goal is to connect them, not to force you to learn everything from scratch. We'll only suggest changing a tool if the current one genuinely blocks the automation, and we'll always explain why.

Is automation worth it even for a small business or a sole trader?

Often yes - it's precisely in a smaller team that one person does everything and every hour saved is felt. You don't need a large company or an IT department; one process that repeats often enough to pay for the automation is enough. If it's not worth it, we'll tell you straight.

Is it safe to let automation and AI access our data?

Yes, we take care of that. We connect the automation through the tools' official interfaces, keep access to the necessary minimum and don't store sensitive data where it doesn't belong. With AI we work with the LLM API category without tying ourselves to a single vendor, and we'll always tell you where your data goes and why.

What happens when the automation gets stuck or something fails?

That's why we build it traceably - when something fails, for example another service's interface being unavailable, you see it and the flow doesn't stop silently. We handle edge cases and set up critical steps so an error alerts you right away, rather than you discovering it a week later on an invoice.

How much does automation cost?

The price is driven by the number of connected systems and the complexity of the flow, so we price automations individually by scope - a simple connection of two tools is an order of magnitude cheaper than an extensive flow with multiple integrations and AI. After the brief you get a fixed price up front - no surprises on the invoice.

How long does automation take?

Simpler automations, such as connecting two tools, are usually done within a few days. More extensive flows with multiple integrations and AI take longer; you'll get a specific timeframe in the quote after the analysis, before we start.

Do I need my own programmer for it?

No. We set up, test and document the automation so it runs on its own without you having to sit over it. When a change is needed or a step is added, we'll take care of it - you don't need to hire your own developer for that.
